Easy Ride Hiiumaa Bicycle Rental Terms and Conditions

1. General Provisions

These Terms and Conditions govern the rental of bicycles between the Lessor and the Renter.

The Lessor reserves the right to amend these Terms and Conditions at any time if necessary.

2. Rental Bicycles

Electric bicycles are equipped with GPS tracking devices for the following purposes:
  • investigating bicycle theft;
  • locating bicycles;
  • detecting violations of these Terms and Conditions.

The Renter acknowledges and agrees that the bicycle’s location data will be processed solely for the purposes listed above.

3. Bicycle Rental

Rental fees and charges for additional services are set out in the current price list. The Lessor reserves the right to amend the price list at any time.

The Lessor’s rental locations are:
  • Heltermaa Harbour
  • Kärdla Town Square
  • Kassari Holiday Centre
  • Kalana Harbour

The Lessor provides rental services during the opening hours of its rental locations and, by prior arrangement, outside normal opening hours.

Bicycles are rented together with the necessary equipment. The Lessor provides bicycles that are clean and in good working order. A bicycle may have cosmetic defects and/or scratches. The Renter is advised to photograph any existing defects before accepting the bicycle. By accepting the bicycle, the Renter confirms that it is in satisfactory condition. The Renter has the right to refuse a bicycle that is not in proper working order.

Where necessary, an electric bicycle will be supplied with a battery charger.

Returning a bicycle to a different Easy Ride Hiiumaa rental location is subject to an additional charge in accordance with the current price list.

Delivery and/or collection of a bicycle outside the designated rental locations is available for an additional fee.

The rental period begins when the bicycle is handed over to the Renter and ends when it is returned to the Lessor.

If the bicycle is returned after the agreed rental period, the Lessor is entitled to charge a late return fee in accordance with the current price list.

The Renter is fully responsible for the rented bicycle throughout the rental period and is obliged to return it at the end of the rental period. Upon return, the bicycle must be handed directly to an Easy Ride Hiiumaa representative, who will inspect its condition.

The Renter agrees to return the bicycle in the same condition in which it was received and shall compensate the Lessor for any repair costs or the replacement cost of missing or damaged parts and equipment.

Outside the opening hours of the rental locations, the bicycle may be returned by placing it in the designated bicycle rack and securing it with the provided lock. The key must be deposited in the designated key box. The bicycle rack is monitored by video surveillance.

The bicycle will be inspected by a member of staff on the next business day. If any defects or damage are discovered, the customer will be notified immediately. Video surveillance recordings may be used to resolve any disputes.

An additional cleaning fee will apply if the bicycle is returned excessively dirty, in accordance with the current price list.

The electrical components of the bicycle must not be cleaned using a pressure washer.

The Lessor reserves the right to refuse the rental of a bicycle without providing any reason.

4. Reservations

Bicycles can be reserved through the online booking system at www.easyridehiiumaa.ee.

To make a reservation, the desired bicycles and any additional services must be added to the shopping basket. The customer must complete all required information fields and select the preferred rental location.

The total rental fee will then be displayed and may be paid securely using one of the following payment methods:
  • Estonian online bank payments
  • Visa / Mastercard
  • Apple Pay
  • Google Pay

Important: When paying via an online bank link, please ensure that you click the “Return to Merchant” button after completing your payment.

Payments are processed by Maksekeskus AS.

Payments are made outside the booking system in a secure payment environment. Online bank payments are processed within the secure environment of the respective bank, while card payments are processed within the secure payment environment of Maksekeskus AS.

The Lessor has no access to the customer’s bank account or payment card details.

The rental agreement becomes effective once the full rental fee has been received in the Lessor’s bank account.

The Lessor acts as the data controller and transfers the personal data necessary for payment processing to the authorised data processor, Maksekeskus AS.

After completing the reservation, the Renter will receive a booking confirmation by email.

If a reservation is cancelled at least one week before the rental period, 50% of the booking fee will be refunded.

No refund will be made for cancellations made less than one week before the rental period.

Reservations for larger groups (more than 10 bicycles) are recommended to be made by telephone or email.

5. Damage Cost Reduction Service

During the rental period, bicycles and their components may become damaged as a result of accidents or improper use. The Renter is responsible for the cost of repairs arising during the rental period.

If the Damage Cost Reduction Service has been purchased, the Renter’s liability for the following common types of damage is limited to 50% of the repair cost.

The Damage Cost Reduction Service applies to:
  • Replacement of handlebar grips
  • Replacement of the bicycle chain
  • Replacement of brake levers
  • Replacement of the display
  • Replacement of the derailleur
  • Replacement of the brake disc
  • Replacement of the kickstand
  • Replacement of tyres
  • Replacement of the saddle

The Damage Cost Reduction Service does not apply to any other repair costs, which remain the full responsibility of the Renter.

The service may be purchased online or at any rental location.

The fee for the service is shown in the current price list and is charged per rental day per bicycle. The same daily fee applies even if the bicycle is rented for a shorter period.

The Damage Cost Reduction Service does not apply where:
  • the bicycle is completely destroyed;
  • the bicycle is stolen;
  • the frame suffers significant structural damage;
  • the battery, motor or other electronic components are damaged;
  • the damage is caused intentionally or through gross negligence.

In the event of total loss or theft, the Renter shall compensate the Lessor for the bicycle’s market value based on the Lessor’s quotation and/or the manufacturer’s recommended value.

6. The Renter Shall
  • comply with all applicable traffic laws and regulations;
  • use the bicycle with due care;
  • secure the bicycle using the supplied lock;
  • keep the bicycle in a safe place;
  • use the bicycle only for its intended purpose.

7. The Renter Shall Not
  • take the bicycle off the island of Hiiumaa;
  • ride the bicycle into water or intentionally submerge it;
  • lend or transfer the bicycle to any third party without the Lessor’s prior permission;
  • remove or damage the bicycle’s GPS tracking device;
  • alter the bicycle’s speed limiter or modify any factory settings;
  • use the bicycle for racing or extreme sports.

The Lessor uses the bicycle’s GPS tracking device to monitor compliance with these restrictions.

If the Renter breaches any of the above restrictions, the Renter agrees to pay a contractual penalty of €300 for each individual breach.

8. Damage and Breakdowns

The Renter is responsible for all damage occurring during the rental period.

In the event of a breakdown or accident, the Renter must notify the Lessor as soon as reasonably possible.

9. Theft and Loss

In the event of theft or loss of the bicycle, the Renter must immediately notify:
  • the Lessor; and
  • where appropriate, the Police.

If the bicycle is stolen due to the Renter’s negligence (for example, by leaving it unlocked), the Renter shall bear full financial responsibility.

10. Safety

The Lessor strongly recommends wearing a helmet.

The Renter confirms that they are capable of riding a bicycle safely and accepts responsibility for their own health and physical fitness.

The Lessor shall not be liable for accidents, personal injuries or damage caused to third parties unless such damage results from the Lessor’s wilful misconduct or gross negligence.

11. Processing of Personal Data

The Lessor processes the Renter’s personal data and GPS location data solely for the following purposes:
  • performing the rental agreement;
  • ensuring the security of the bicycles;
  • preventing theft;
  • resolving potential disputes.

Personal data is processed in accordance with applicable data protection legislation.

12. Minors

Bicycles may only be rented to minors with the consent of a parent or legal guardian.

13. Force Majeure

The Lessor shall not be liable for failure to fulfil its obligations where such failure results from force majeure, including adverse weather conditions, power outages, technical failures or other unforeseen circumstances beyond its reasonable control.

14. Dispute Resolution

The Parties shall seek to resolve any disputes through mutual negotiations.

If no agreement can be reached, disputes shall be resolved in accordance with the laws of the Republic of Estonia.
